Student deadlines are set by institutions elsewhere — a graduate program, a foreign ministry of education, an employer overseas, a scholarship office. The requirement arrives with a submission date and a form that has to be handled a particular way.

International students and study-abroad participants face an extra layer. Their documents frequently have to be usable in another country, which can mean notarization followed by authentication, and sometimes translation. Finding that out at the last minute is what turns a simple errand into a scramble.

Meanwhile, the campus notary options students expect are inconsistent. A department may have someone with a commission, or may not, or may only handle internal forms. A mobile appointment removes the guesswork about whether anyone is available.

What to have ready

Student appointments usually hinge on knowing exactly what the receiving institution asked for.

  • The complete form or document, printed, including any notarial wording
  • Acceptable, unexpired photo identification — a student ID alone is generally not sufficient
  • The written instructions from the school, program, or agency requesting the document
  • The destination country, if the document will be used abroad
  • Your submission deadline
  • A meeting location and access details for apartment or office buildings
  • Any witness requirements stated on the form
Please do not sign in advance when the applicable notarial procedure requires signing in the notary's presence. If you are unsure whether witnesses are needed or which notarial act the document calls for, check the document itself or ask the person or agency that prepared it. Important signer requirements

Student status does not change the requirements, and one of them catches people out regularly.

  • The signer must personally appear with acceptable, unexpired government-issued photo identification. A university ID card is generally not acceptable on its own.
  • International students should bring a passport or other acceptable government-issued identification.
  • The notary must be able to communicate directly with the signer and determine the signer is acting willingly.
  • Documents that must be signed in the notary's presence should be left unsigned until the appointment.
  • A notary does not certify that a diploma or transcript is authentic and does not issue certified copies of academic records — those come from the issuing institution.
